How to connect AI automation to your CRM

Plan a useful integration with clear data access, review steps, and measurable acceptance criteria.

Choose one workflow

Start with a specific task such as summarizing account activity or preparing a draft follow-up. Identify the trigger, required records, desired output, and the person responsible for checking it. Avoid combining several unrelated processes in the first pilot.

Map access and the source of truth

Confirm what the CRM API supports and which account permissions are required. Decide which records the integration may read and write. Keep credentials on the server, minimize the data sent to other systems, and agree retention and deletion requirements with your team.

Design for errors and review

A model output should not automatically become an approved business action. Validate required fields, detect duplicate requests, and handle unavailable APIs. Show source records alongside summaries. Require approval before sending external messages or making consequential changes.

Pilot, measure, then expand

Test representative records in a non-production environment first. Compare task time, corrections, and cost against the original process. Establish monitoring and a way to disable the integration. Expand only after your team has reviewed the pilot’s results and ownership is clear.
